Creating a schedule
Schedules help you organize recurring meetings, manage speakers, and track attendance. This guide walks you through creating your first schedule.
Prerequisites
- An active ChurchLinks.io account
- A subscription plan that includes schedule access (small and large ministry)
Step-by-Step Guide
Step 1: Start the Setup Wizard
- Log in to your ChurchLinks.io dashboard
- Navigate to Schedules in the sidebar
- Click New Schedule or Create Schedule
- The setup wizard will guide you through the process
Step 2: Name Your Schedule
- Enter a descriptive name for your schedule (e.g., "Sunday Morning Service", "Wednesday Bible Study")
- Click Continue
Tip: Choose a name that clearly identifies the meeting type for easy reference later.
Step 3: Set the Location
- Enter the Location Name (The church name or organization)
- Enter the Room Number (e.g., "Main Sanctuary", "Fellowship Hall")
- Add the Street Address, City, State, ZIP, for the venue
- Select the Timezone your location is in, for those coming from another area
- Click Continue
Step 4: Configure Date & Time
- Select the Start Date for your schedule
- Set the Default Meeting Time
- Click Continue
Step 5: Set Up Meeting Types
Meeting types help categorize different kinds of gatherings (e.g., "Lesson", "Testimony", "Special Event"). This will also help us to auto-create your meetings.
- Review the default meeting types or create new ones
- For each meeting type, you can:
- Set a name
- Mark if it's "in rotation" for automatic scheduling
- Click Continue
Note: Meeting types marked as "in rotation" will automatically cycle through when creating new meetings.
Step 6: Add Speakers (Optional)
- Add speakers who regularly participate in your meetings and any guest speakers you know of
- For each speaker, enter:
- Name
- Email address
- Check guest if they are not regular speakers
- Speakers can be assigned to specific meetings later
- Click Complete Setup
Step 7: Create a Public Page (Optional)
You can create a public page to share your schedule:
- Choose whether to create a page now or skip
- If creating a page:
- Enter a custom URL address (e.g.,
yourchurchforyourchurch.churchlinks.io) if you dont know what you would like here a page address will automatically be created - The page will display your upcoming meetings

- Click Create Schedule Page or Skip for now
Step 8: Complete Setup
- Review your schedule summary
- Your first 5 meetings will be automatically created
- Click View meetings or Customize Page to start managing your meetings
What's Next?
After creating your schedule, you can:
- Edit meetings - Adjust dates, times, or meeting types
- Assign speakers - Send speaker requests for upcoming meetings
- Track attendance - Record attendance for each meeting
- Manage visibility - Control which meetings are public or private
