Creating a schedule

Schedules help you organize recurring meetings, manage speakers, and track attendance. This guide walks you through creating your first schedule.

Prerequisites

  • An active ChurchLinks.io account
  • A subscription plan that includes schedule access (small and large ministry)

Step-by-Step Guide


Step 1: Start the Setup Wizard

  1. Log in to your ChurchLinks.io dashboard
  2. Navigate to Schedules in the sidebar
  3. Click New Schedule or Create Schedule
  4. The setup wizard will guide you through the process

Step 2: Name Your Schedule

  1. Enter a descriptive name for your schedule (e.g., "Sunday Morning Service", "Wednesday Bible Study")
  2. Click Continue

Tip: Choose a name that clearly identifies the meeting type for easy reference later.

Step 3: Set the Location

  1. Enter the Location Name (The church name or organization)
  2. Enter the Room Number (e.g., "Main Sanctuary", "Fellowship Hall")
  3. Add the Street Address, City, State, ZIP, for the venue
  4. Select the Timezone your location is in, for those coming from another area
  5. Click Continue

Step 4: Configure Date & Time

  1. Select the Start Date for your schedule
  2. Set the Default Meeting Time
  3. Click Continue

Step 5: Set Up Meeting Types

Meeting types help categorize different kinds of gatherings (e.g., "Lesson", "Testimony", "Special Event"). This will also help us to auto-create your meetings.

  1. Review the default meeting types or create new ones
  2. For each meeting type, you can:
    • Set a name
    • Mark if it's "in rotation" for automatic scheduling
  3. Click Continue

Note: Meeting types marked as "in rotation" will automatically cycle through when creating new meetings.

Step 6: Add Speakers (Optional)

  1. Add speakers who regularly participate in your meetings and any guest speakers you know of
  2. For each speaker, enter:
    • Name
    • Email address
    • Check guest if they are not regular speakers
  3. Speakers can be assigned to specific meetings later
  4. Click Complete Setup

Step 7: Create a Public Page (Optional)

You can create a public page to share your schedule:

  1. Choose whether to create a page now or skip
  2. If creating a page:
    • Enter a custom URL address (e.g., yourchurch     for yourchurch.churchlinks.io    ) if you dont know what you would like here a page address will automatically be created
    • The page will display your upcoming meetings
  3. Click Create Schedule Page or Skip for now

Step 8: Complete Setup

  1. Review your schedule summary
  2. Your first 5 meetings will be automatically created
  3. Click View meetings or Customize Page to start managing your meetings

What's Next?

After creating your schedule, you can:

  • Edit meetings - Adjust dates, times, or meeting types
  • Assign speakers - Send speaker requests for upcoming meetings
  • Track attendance - Record attendance for each meeting
  • Manage visibility - Control which meetings are public or private
